Comprehensive Guide to Employee Export and Actions – CRMLEAF HRMS

The Export Employees feature allows HR teams and admins to download complete employee records for HR audits, payroll processing, data migration, or offline reporting.

How to Export Employee Data


Path:
HRMS > Employees > Export

Steps:

  1. Navigate to the Employees section under the HRMS module.
  2. Use filters or the search bar to narrow down specific employees (optional).
  3. Click the Export button.
  4. The system will download a file in .xlsx format containing all relevant employee information.

Employee List Overview (Before Export)

The Employee List provides a summarized view of key information, including:

Column Description
Email Official email ID of the employee
Role Assigned system role (Admin, Manager, etc.)
Reporting Manager Supervisor or lead the employee reports to
PAN Permanent Account Number or Tax ID (if configured)
Status Current employment status (Active, Inactive, etc.)

You can use the search bar or apply filters to refine results by:

  • Name
  • Role
  • Department
  • Employment Status

Add Employee Go to HRMS > Employees > Add Employee, complete the form, and click Save
Invite Employee Use Invite by Email or Invite by Link from the Invite Member page
Import Employees Click Import Employee, upload a supported file format, and map fields accordingly
Export Employees Navigate to HRMS > Employees > Export and download the list
Edit Employee Details Find the employee → Click Edit under Actions
View Employee Profile Click View in the employee list
Delete Employee Record Use Delete under Actions (Admin only)
Search & Filter Use the top search bar or drop-down filters to find specific records quickly

Q: Can I edit an employee’s details after creation?
A: Yes. Go to HRMS > Employees, search the employee, and click Edit.
Q: What file types are supported for importing employee data?
A: .xls, .xlsx, and .csv. Ensure proper headers and date formats are used.
Q: Who can invite new employees to the system?
A: Only users with Admin or HR roles have the permission.
Q: Can employees update their own profiles?
A: Yes, if the Login Allowed? option is enabled and permissions are granted.
Q: What happens after inviting an employee by email?
A: They receive a login link to CRM LEAF and can complete their profile setup.

A: Yes. Go to Invite Member, re-enter the email, and send the invitation again.
