Employee Management in CRM LEAF: Adding, Inviting, and Importing Employees

In CRM LEAF, an employee refers to an individual registered in the organization’s HRMS system. Each employee has a unique profile containing personal, professional, and employment-related information, enabling efficient workforce tracking and HR management.

How to Add an Employee

Navigate to: HRMS > Employees > Add Employee

Fill in the required details:

  • Basic Info: Employee ID, Name, Email, DOB, Designation, Department
  • Contact Info: Country, Mobile, Gender, Address
  • Employment Details: Joining Date, Reporting To, Role, Language, Hourly Rate
  • Account Settings: Login Access, Email Notifications, Bio
  • Click Save to complete the profile creation.

How to Invite an Employee

Two methods to invite employees:
1. Invite by Email

  • Enter employee’s email.
  • Add an optional message.

A link is emailed to the employee for login and profile completion.

2. Invite by Link

  • Generate a registration link.
  • Share manually.
  • Path: HRMS > Employees > Invite Member

Import Employees (Bulk Upload)

  • Go to: HRMS > Employees > Import Employee
  • Upload .xls, .xlsx, or .csv file.
  • Ensure date fields follow format: YYYY-MM-DD
  • Review and confirm field mappings.

Export Employees

  • Path: HRMS > Employees > Export
  • Download a full Excel list of employee records.

Employee List Overview

Displays Email, Role, Reporting Manager, PAN, Status

Use search bar and filters by:

  • Name
  • Role
  • Department
  • Employment Status
  • Actions: View, Edit, Delete

Q: Can I edit an employee’s details after creating the profile?
A: Yes, navigate to HRMS > Employees, find the employee, click Edit.
Q: What file types are supported for importing employees?
A: .xls, .xlsx, .csv. Ensure all required fields and correct date formats.
Q: Who can invite new employees?
A: Only users with Admin or HR permissions.
Q: Can employees update their own profiles?
A: Yes, if Login Allowed? is enabled and permissions are granted.
Q: What happens after inviting an employee by email?
A: They receive a login link to access CRM LEAF and complete their profile.
Q: Can I re-invite an employee?
A: Yes, re-enter their email in Invite Member and send the invite again.
