Managing Employee Leaves in CRMLeaf

 

The Leaves Module in CRMLEAF allows employees and HR teams to manage time off effectively. It supports applying for leave, approving requests, assigning quotas, and tracking leave balances, all within an organization

 

How to Add a New Leave

To assign a leave to an employee:

  • Go to HRMS > Leaves > New Leave.
    Fill out the required fields:
  • Assign Leave: Choose the employee.
  • Leave Type: Select from available leave categories (e.g., Casual, Sick).
  • Status: Set the request status (e.g., Approved, Pending).
  • Select Duration: Choose one of the following:
  • Full Day
  • First Half
  • Second Half
  • Multiple Dates
  • Date: Select the leave date(s).
  • Reason for Absence: Enter a short reason.
  • Add File (optional): Attach supporting documents (e.g., medical certificate).
  • Click Save to record the leave.

Calendar View – Leave Scheduler

The Calendar View helps you visualize leave across the organization. Navigate using:

  • Month View: Overview of all leaves in the current month.
  • Week View: Detailed look at leaves per week.
  • Day View: Track leaves on a daily basis.
  • List View: Linear list of all leave entries with key details.

Table View in Leave

The Table View displays leave data in a grid format for quick tracking. Columns include:

  • Employee: Name of the person on leave.
  • Leave Date: Scheduled leave date(s).
  • Duration: Full day, half-day, or multi-day.
  • Leave Status: Approved, Pending, Rejected.
  • Leave Type: Casual, Sick, Paid, etc.
  • Paid: Indicates if the leave is paid or unpaid.
  • Action: Edit or delete the entry.

My Leaves – Employee Self-Service

Employees can view and track their own leave requests via My Leaves.
They can:

  • View applied and approved leaves.
  • Cancel or update pending leave requests.
  • Upload supporting documents when required.

 

Leaves Quota

The Leaves Quota section shows the breakdown of leave entitlements per employee and leave type.

Exporting Leave Records

You can export leave data in Excel format by default. This is useful for audits, payroll syncing, or managerial review.
Path:

  • Go to HRMS > Leaves > Export to generate the Excel file.

Quick Actions – Leave Module

Action How To
Add Leave Click New Leave, complete form, and click Save.
Assign to Employee Select employee in Assign Leave, fill required fields.
View Calendar Navigate using Month, Week, Day, or List view.
Track My Leaves Go to My Leaves under the Leaves module.
View Quota Go to Leaves Quota tab to see entitlements and balances.
Export Leaves Click Export to download Excel sheet of all leave data.

 

FAQ

Q: Can employees apply for half-day leave?
A: Yes. Select First Half or Second Half in the leave duration.
Q: How are leave balances calculated?
A: Based on total leave entitlement minus leaves taken. Monthly limits may apply.
Q: Who approves the leave?
A: The reporting manager or assigned approve reviews and updates the leave status.
