Step-by-Step Guide to Recording Payments in CRMLeaf

In CRM Leaf, a payment records the receipt of money from a client against an invoice. This ensures accurate tracking of your receivables and keeps your sales and financial records up to date.
How to Add a Payment

To manually record a payment:
- Go to the Payments section.
- Click on Add Payment.
Fill in the following payment details:
Payment Fields
- Project
- (Optional) Associate the payment with a specific project.
- Invoice:Select the invoice the payment corresponds to.
- Paid On:The date the payment was received.
- Amount:The total amount received from the client.
- Currency:Select the payment currency.
- Exchange Rate:Required only if the payment is made in a currency different from your system’s base currency.
- Transaction ID:Enter the reference or confirmation number for the payment.
- Payment Gateway:Select the payment method used (e.g., Stripe, PayPal, Cash, Bank Transfer).
- Bank Account:Choose the account where the payment was deposited.
- Receipt:Upload a receipt or supporting document if available.
- Remark:Add any internal notes or comments about the payment.
- Click Save to record the payment.
How to Add a Bulk Payment

Bulk payment allows you to apply a single payment across multiple invoices for the same client or process multiple payments efficiently.
- Navigate to Bulk Payment.
- Click Add Bulk Payment.
Use the following fields:
- Bulk Payment Fields
- Filter Invoice by Client:Select a client to list their open invoices.
- Select Payment Method:Choose the payment mode (e.g., Bank Transfer, Cheque, Cash).
- Offline Payment Method:If using an offline option, specify the method.
Then, for each invoice:
- Invoice Number:Identifies the invoice to apply payment.
- Payment Date:The date the payment was made.
- Payment Method:How the payment was received.
- Bank Account:Where the payment was deposited.
- Transaction ID:Enter the transaction reference number.
- Amount Received:The amount being applied to this invoice.
- Invoice Balance Due:Displays the remaining balance after payment is applied.Click Save to record all selected payments.
Export in Payment

CRM Leaf provides an Export option to download payment records:
- Go to the Payments section.
- Click on Export.
An Excel (.xlsx) file is generated containing all payment details.
