What is “Task List” & How it Helps You?

A Task List contains the list of tasks of a project or all projects. It is the work list for the entire project team with all vital information regarding the tasks in that project.

The following details can be monitored or managed in the task list:

You can perform a lot of actions right from the task list without having to go inside a task.

  1. Create a Task or add a task to Task List
  2. View My Task List

Add a Task to Task List

  1. Navigate to Left Menu, Click on Tasks
  2. Click on Quick Links>New>Task or + icon or + Quick Task button
  3. Type your Task Name and details and click on Save to add a task to task list.

View My Task List

  1. Navigate to Left Menu and hover on Tasks
  2. Click on Tasks Assigned to me from the submenu options to see all the tasks assigned to you

View Closed Tasks

  1. Navigate to Left Menu, Click on Tasks
  2. Click on the Closed Status in the status bar as shown in the image

View All Opened Task List

  1. Navigate to Left Menu and hover on Tasks
  2. Click on All Opened from the sub menu options to see all tasks which are not completed.

View the status report of task List

  1. Navigate to Left Menu, Click on Tasks
  2. On the right side, you can view how many tasks in New, In Progress, Resolved or Closed or any other statuses if you’re using the custom task statuses.

In the above image, you can see 79 tasks are in new status, 29 In Progress etc.

3. Click on any status will show the status wise filtered tasks.

Edit, Delete, Archive a task

  1. Navigate to the Left Menu, Click on
  2. Hover on any task from the list
  3. Hover on 3-dot icon, click to Edit, Delete or Archive a task.

4. To archive a task list, select multiple tasks or click on the checkbox on the top left of your task list and click on          the dropdown arrow

5. Click on Archive the task list.

Copy, Move and Archive multiple tasks

  1. Navigate to Left Menu, Click on Tasks
  2. Mark tasks from the list which you want to move,copy or archive.
  3. Hover on , click on copy or move to project or move to task group/sprint of a task.

Note:

  • Multiple delete option is not available. Once you archived multiple or all tasks, then from the archive page, you can delete all your tasks.
  • Bulk actions are applicable for open tasks only. However, using Copy to project, you can copy the closed task to another project.

Copy task

Upon enabling the close task selection, by default, all the closed tasks in the project will be selected. So this feature can be useful when you are copying all the tasks to another project.

  • When Move to Project is selected, all the tasks will be moved to another project and selected tasks will be deleted from the current task list.

Change the status of a task from task list

  1. Navigate to Left Menu, Click on Tasks
  2. To change the status of a task, hover on the task
  3. Hover on 3-dot icon and change the status of the task from the options.

There are 4 task views to choose from – 

  • Task List
  • Kanban
  • Sub task view
  • Calendar view
  1. Navigate to Left Menu, Click on Tasks
  2. To change the task view, Click on on the top left header of the task list section and select the view you want to see.

 

Change Due Date, Estimated Hours, Assign To, Priority

  1. Navigate to Left Menu, Click on Tasks
  2. To change the due date, estimated hours, assign to or priority of any task, navigate to the respective column, and change the due date, estimated time, assign to or priority of the task.

Task List Filter

  1. Navigate to Left Menu, Click on Tasks
  2. Navigate to top right corner of the task list page (below the notification icon) and click on filter
  3. The task can be filtered on the basis of
    • Task Creation time
    • Due date
    • Status
    • Types
    • Priority
    • Commented by
    • Created by
    • Assign To
    • Label
  4. You can save a filter for quick view as well. For more details on custom filters, refer to the documentation.

Sorting of Task List

  1. Navigate to Left Menu, Click on Tasks
  2. Click on any column head to sort Task #, Task, Assign To, Priority, Est. Hours, Updated, Due Date

Task List Export

  1. Navigate to Left Menu, Click on Tasks
  2. Hover on export, click on Export to CSV or Export to PDF.
  3. In the export pop-up, mark the fields you would like to have in the CSV sheet, then click export.

Show or Hide Columns

  1. Navigate to Left Menu, Click on Tasks
  2. Click on Show hide-Task, select or unselect columns to show or hide columns.
